Clinical Backgrounds

EyeCareWorks Core

EyeCareWorks Virtual Assistants are Registered Nurses, Licensed Healthcare Professionals, and Healthcare Graduates trained specifically for optometry and ophthalmology practices. Every specialist comes from one of three clinical backgrounds and has completed the EyeCareWorks certification program.

Licensed Registered Nurses

Registered nurses with real clinical experience. They bring patient triage instincts, medical terminology fluency, and disciplined charting habits to every task, from scribing to patient recalls.

Licensed Healthcare Professionals

Professionals beyond nursing, including medical technologists, pharmacists, and physical therapists. Precision and protocol are their trade, which means cleaner claims, tighter prior authorizations, and records that hold up under review.

Elite Healthcare Graduates

Nursing and allied health graduates who outperformed licensed applicants in our screening and skills testing. That drive reaches your practice as faster learning, sharper work, and a VA who stays, because this is the career they are building.

Specialized Eye Care VA Trained

A nursing license or healthcare degree opens our door, not yours. Every VA completes the same certified eye care training and assessment before placement, so whoever joins your practice arrives already fluent in your world. Three paths in. One standard out.

Built for Eye Care

Why Eye Care Practices Choose Our Virtual Assistants

Every EyeCareWorks Virtual Assistant is trained specifically for the administrative and operational rhythm of optometry and ophthalmology practices.

Trained for Eye Care Before Day One

Your assistant arrives fluent in optometric terminology, front-office workflows, and the daily rhythm of an eye care practice, from exam scheduling to recall campaigns. Ramp-up is minimal because the training happened before they ever met you.

The Same Assistant Every Day

You work with the same virtual optometrist assistant every day. They learn your doctors, your patients, and your way of doing things, and that familiarity compounds into speed your whole team can feel.

HIPAA Trained and Background Checked

Every assistant completes HIPAA training and a full background check before placement, and works under signed confidentiality agreements. Your patients' information stays protected, and your practice stays compliant.

Complete Visibility Into the Work

Secure time and activity tracking gives you complete visibility into the work being done. You see the output, and you only pay for productive hours.

The EyeCareWorks Training Program

Trained Before They Ever Meet Your Practice

Behind every EyeCareWorks Virtual Assistant is 60+ hours of specialized eye care training, completed before they are eligible for placement. Our program is designed for one purpose. Preparing healthcare professionals to operate confidently inside optometry and ophthalmology practices.

HIPAA & Compliance

HIPAA fundamentals, Business Associate Agreement standards, PHI handling protocols, secured workstation requirements, role-based access principles, and incident response procedures. Every placed VA holds an active third-party HIPAA certification.

Clinical Triage & Escalation

Recognition of urgent versus routine concerns, including vision changes, eye pain, flashes, floaters, and trauma. VAs trained to escalate appropriately while staying within scope and never providing medical advice.

Insurance Verification

VSP, EyeMed, Davis Vision, and more medical insurance benefit verification. Eligibility, copays, frame allowances, exam frequencies, material benefits, and in-network confirmations. Plan-specific workflows for each major carrier.

EMR Systems

Training on the most-used optometry and ophthalmology EMRs including Eyefinity, RevolutionEHR, Crystal PM, Compulink, OfficeMate, MaximEyes, Uprise, ExamWRITER, Practice Director, and My Vision Express. EMR-specific documentation, scheduling, and workflow training.

Eye Care Terminology & Exam Flow

Refraction, OCT, visual fields, fundus imaging, glaucoma testing, contact lens fittings, dry eye protocols, and standard exam flow. VAs speak the language of an eye care practice from day one.

Patient Communication

Phone scripts, recall campaign workflows, appointment reminder cadences, post-visit follow-ups, and difficult patient conversations. Trained to match each practice's voice and standards.

Billing & Claims

Vision and medical claim submission, denial follow-up, appeal letters, prior authorization workflows, patient statements, and accounts receivable processes.

Optical, Lab & Operations

Optical and lab coordination, frame board management, contact lens ordering, telehealth visit support, and operational reporting.

Our Selection Process

Enrollment Is Earned, Not Given

1

Application Review

Every application is individually reviewed against strict eligibility criteria: verified healthcare credentials, clinical education, documented patient-facing experience, and written English proficiency. Applications that cannot be fully verified are declined.

2

Skills Assessment

Qualified candidates complete timed written and practical assessments covering medical terminology, situational judgment, attention to detail, communication clarity, and core clinical knowledge. Only candidates who meet our scoring thresholds advance.

3

Interview

A structured, two-stage interview. Stage one evaluates spoken English fluency, professional communication, and service mindset. Stage two is a clinical interview probing healthcare experience, judgment in patient scenarios, and fit with U.S. practice standards.

4

Background and Reference Verification

Healthcare credentials and licenses are independently verified, professional references are contacted directly, and background checks, including government-issued ID and NBI clearance, are completed before any candidate is admitted to training.

5

Training Program Enrollment

Enrollment is earned, not given. Only candidates who clear all four prior stages enter our 60+ hour eye care training program, and enrollment does not guarantee placement. Candidates must pass final competency evaluations and hold an active third-party HIPAA certification before they are matched with a practice.
